Microsoft’s next work-life balance tip tells you when to send delayed emails


Most email clients now support sending deferred emails, ie. e-mail scheduled for delivery at a different time than when it was written. This is extremely useful when you are working late, for example, but don’t want to disturb your coworkers with messages that make their phones vibrate in the middle of the night.

However, with working remotely, the middle of the night can actually be very different for different staff members, with some people in completely different time zones.

Microsoft has found a way to resolve the issue using its Microsoft Viva Employer Wellness Service.

The Viva Insights Outlook add-in offers actionable suggestions to help you stay on top of tasks and emails, strengthen your working relationships, plan your time off work, and achieve better balance.

Microsoft Viva Insights, along with Outlook, can now show you suggestions for scheduling email deliveries that align with recipients’ working hours in their respective time zones. The delay helps minimize disruption for recipients outside of their working hours.

The deferred delivery plan is currently only available to people who use Microsoft Viva Insights (MyAnalytics) and who are enrolled in the MyAnalytics (Full) service plan. Microsoft is extending the deferred delivery plan in Outlook to users licensed with Microsoft Viva Insights (preview).

The deferred delivery plan will be deployed by default. Users can opt for the deferred delivery plan through the MyAnalytics dashboard or through the Viva Insights Outlook add-in. It can be disabled by the administrator or the end user.

Microsoft will begin rolling out the feature to Preview users in early February and expects to complete the rollout in mid-February. Standard users will receive the feature in mid-February and expect to complete the rollout in late February.
